Privacy Policy

Flow Batch Studio (“Flow Batch Studio,” “we,” “us,” or “our”) is a production workspace operated for creators who plan, research, write, generate, assemble, and publish video content. This Privacy Policy describes how we handle information when you visit flow.vocastmedia.com, create or use an account, use the Studio, connect Google or YouTube, or otherwise interact with the service.

This policy applies to information processed through the website and application. It does not control the privacy practices of third-party services that you choose to connect to Flow Batch Studio; those services have their own policies and terms.

We collect information needed to provide the product, secure accounts, maintain production history, and operate integrations. Depending on how you use the service, this can include:

• Account information: name, email address, password credentials in protected form, account identifiers, profile information, profile photograph, email-verification state, and account preferences.
• Production information: project names, ideas, research inputs, scripts, outlines, creative-bible information, scene descriptions, prompts, writing styles, scene styles, production settings, generated metadata, job status, run history, subtitles, thumbnails, and YouTube publishing metadata.
• Uploaded content: images and other media you upload or provide to a production, including profile photographs. Media may be stored in application storage so that your account and projects can continue to use it.
• Technical and security information: IP address, browser/device information, timestamps, request information, authentication/session information, security events, error information, and operational logs.
• Connected-service information: information returned by an integration when you authorize it, as described below.

We do not intentionally ask you to provide sensitive personal information that is unnecessary for the service. Please do not place sensitive information about yourself or another person into project prompts, uploads, or other content unless you have a legitimate reason to do so.

You may use Google authentication to create or access your Flow Batch Studio account. For Google Sign-In, the application requests basic identity information needed to authenticate you, including the Google account identifier, email address, and profile information made available through the authorized OpenID Connect scopes.

If you choose to connect a YouTube channel, Flow Batch Studio requests Google/YouTube authorization for the scopes necessary to connect and operate the YouTube features you explicitly choose to use. Depending on the enabled features, this can include permission to upload videos, manage YouTube activity required for publishing, and read channel information or analytics.

How Google data is used: Google data is used only to provide the Google authentication and YouTube functionality you initiate, such as signing in, identifying the connected channel, preparing or publishing a video, and displaying channel or analytics information inside the Studio.

What we do not do with Google user data: We do not sell Google user data. We do not use Google user data for advertising or to build advertising profiles. We do not use Google user data for unrelated services. We do not transfer Google user data to third parties except where necessary to provide the authorized functionality, comply with law, protect the service, or as otherwise disclosed in this policy.

Tokens and revocation: Where a Google/YouTube connection requires an access or refresh token, the application stores the connection credentials using security controls appropriate to the integration and uses them only to maintain the authorized connection. You can revoke access from your Google Account or disconnect YouTube from Flow Batch Studio. When authorization is revoked or the connection is no longer needed, we will take reasonable steps to stop using the revoked credentials and delete them when required by our retention practices.

Our handling of Google user data is intended to comply with the Google API Services User Data Policy, including Limited Use requirements where applicable. We request only the scopes necessary for the functionality being used.

We use information for specific operational purposes, including:

• creating, authenticating, and securing user accounts;
• providing the connected production workflow and keeping projects account-scoped;
• saving project context, creative styles, prompts, assets, jobs, and production history so work can be resumed;
• processing requests through selected AI, media, storage, email, and publishing providers when those providers are required for a feature you use;
• connecting, publishing to, and retrieving permitted information from YouTube when you authorize those actions;
• sending transactional messages such as email verification, password-reset, and security notifications;
• detecting abuse, fraud, unauthorized access, security incidents, and technical failures;
• debugging, monitoring, improving reliability, and maintaining the service; and
• complying with legal obligations and enforcing our agreements.

We do not use your private project content to sell advertising. If we introduce materially different uses, we will update this policy and, where required, obtain appropriate consent.

Flow Batch Studio is provider-neutral. When you choose or enable an AI or media feature, the relevant input may be transmitted to the provider needed to perform that operation. This can include text prompts, scripts, scene descriptions, reference images, generation settings, or other content you intentionally submit for processing.

Depending on the configuration available to your account, providers can include services such as OpenAI, Google Gemini, Anthropic, DeepSeek, xAI/Grok, BytePlus/Dreamina/Seedance, or other providers added to the platform. The exact provider available at any time depends on the Studio configuration.

We use provider-neutral adapters so that the application can route an operation to the selected service without making that provider the owner of your Flow Batch Studio account. Third-party providers may independently process data under their own terms and privacy policies. You should review the applicable provider terms before submitting content you consider confidential.

We may also use infrastructure providers for database hosting, object storage, email delivery, monitoring, security, and application hosting. These providers receive only the information reasonably necessary to perform their contracted function.

We may share information with:

• Service providers: infrastructure, storage, email, AI/media generation, analytics, security, and other vendors that help operate requested functionality.
• Google and YouTube: when you authenticate with Google or authorize YouTube features, only the information and permissions needed for those actions are exchanged.
• Professional advisers: lawyers, accountants, auditors, insurers, or other advisers where reasonably necessary.
• Legal and safety recipients: authorities or other parties where disclosure is required by law, legal process, or necessary to protect rights, safety, security, or the integrity of the service.
• Business transactions: information may be transferred as part of a merger, acquisition, financing, restructuring, or sale of assets, subject to appropriate confidentiality and legal requirements.

We do not sell personal information or Google user data.

We retain information for as long as reasonably necessary to provide the service, maintain your account, preserve production history, meet legal obligations, resolve disputes, enforce agreements, and maintain security.

Production projects and account data are generally retained while your account remains active so that you can resume work. Some operational records, security logs, backups, or legally required records may remain for a longer period even after a deletion request, subject to applicable law.

Deleting a project, asset, connection, or account may not cause instantaneous physical deletion from every backup or provider system. Where deletion is appropriate, we use reasonable processes to remove or de-identify information from active systems and allow normal backup-retention cycles to expire.

We use technical and organizational measures designed to protect information against unauthorized access, alteration, disclosure, or destruction. These measures can include encrypted connections, account-scoped authorization checks, protected credentials, secure session handling, access controls, validation of uploaded content, and security logging.

No internet service can guarantee absolute security. You are responsible for keeping your password and connected accounts secure and for notifying us if you believe your account has been compromised.

OAuth credentials and tokens are treated as sensitive credentials. They should never be placed into prompts, project content, public repositories, or support messages.

Flow Batch Studio may use cookies, local storage, session mechanisms, and similar technologies to keep you signed in, remember settings such as theme preferences, protect sessions, and operate the application.

We may also use limited technical telemetry or logs necessary for security and reliability. We do not use these technologies to sell your personal information to advertisers.

Blocking essential cookies or storage can prevent authentication or other parts of the service from working correctly.

Depending on where you live, you may have rights concerning your personal information, including rights to access, correct, delete, restrict, object to certain processing, or receive a copy of certain information.

You can generally manage your account information from the Studio, disconnect authorized integrations, and delete content where the applicable feature provides deletion controls. You may also request account or privacy assistance through the support channel made available by Flow Batch Studio.

We may need to verify your identity before completing a request. Some information may be retained where we have a lawful reason or legal obligation to keep it.

You may request deletion of your Flow Batch Studio account and associated personal information. Account deletion may remove or schedule removal of projects, assets, profile information, production history, and connected-service information associated with the account, subject to legitimate retention requirements.

For Google data specifically, you can also revoke Flow Batch Studio's access from your Google Account. Disconnecting Google or YouTube stops future authorized access, but does not automatically delete information that was already lawfully stored in Flow Batch Studio. To request deletion of stored information, use the account deletion controls or contact the service through its support channel.

Flow Batch Studio is not directed to children who are below the minimum age required to use the service in their jurisdiction. We do not knowingly collect personal information from children in violation of applicable law. If you believe a child has provided personal information to us improperly, please contact us so that we can investigate and take appropriate action.

Flow Batch Studio and its service providers may process information in countries other than the country where you live. Those locations can include the countries in which our hosting, storage, AI, email, authentication, and other service providers operate.

Where required, we use appropriate contractual, technical, or other safeguards for international transfers. By using the service, you understand that your information may be processed internationally.

The Studio may contain links or integrations to third-party services, including Google, YouTube, AI providers, storage providers, and external websites. We do not control those services. Their own privacy notices, terms, security practices, and data-retention rules apply to information you provide directly to them.

We may update this Privacy Policy as the product, integrations, laws, or security practices change. The “Last updated” date at the top of this page identifies the current version. If a change is material, we may provide additional notice through the service or by email when appropriate.

If you have a privacy question, want to exercise a privacy right, or believe information has been handled contrary to this policy, please use the support/contact channel provided by Flow Batch Studio or Vocast Media for the service. Include enough information for us to understand the request, but do not send passwords, OAuth client secrets, access tokens, or other credentials.
